How do I migrate from QuickBooks Online to Xero without losing data?
Migration tools like Movemybooks and Dataswitcher handle the bulk of the transfer. They can move your chart of accounts, customer and vendor lists, invoice history, bills, and transaction detail from QuickBooks Online into Xero. The tools are reasonably good at what they do, but none of them produce a perfectly clean result. Manual cleanup after the migration is almost always part of the process.
The most important step before you start is mapping your chart of accounts between the two systems. QuickBooks and Xero organize accounts differently, and a migration tool will make its best guess at where things belong. Those guesses aren’t always right. If your QuickBooks chart of accounts has custom categories or sub-accounts, you need to decide ahead of time where each one should land in Xero. Skipping this step means spending hours fixing misclassified transactions after the fact.
Once the migration runs, verify your opening balances. Pull a balance sheet and profit and loss statement from QuickBooks for a specific period, then pull the same reports from Xero and compare them line by line. They should match. If they don’t, something got dropped or mapped incorrectly during the transfer. This validation step is where most people cut corners, and it’s exactly where problems hide. Bank account balances, accounts receivable, accounts payable, and retained earnings all need to match between the two systems.
Timing matters more than people realize. The best time to migrate is at year-end or the start of a new fiscal year. Migrating in the middle of a quarter means you’re splitting your records across two platforms for that period, which makes reconciliation and tax preparation harder than it needs to be. If you can close out a full year in QuickBooks and start fresh in Xero on January 1, that’s the cleanest path.
Some things won’t transfer cleanly no matter what tool you use. Recurring transactions, memorized reports, bank feed connections, and payroll data typically need to be set up fresh in Xero. Budget data and custom report layouts also don’t migrate. Plan to rebuild those manually after the switch.
Don’t cancel your QuickBooks subscription immediately after migrating. Keep it active in read-only mode for at least a few months so you can reference historical data and verify anything that looks off in Xero. You’ll want that safety net while you’re getting comfortable with the new system.
